I am launching this topic to share some informal everyday email samples written by native English speakers. It hopefully will be a valuable resource for those who feel like to learn more about writing natural sounding emails.

This is simply the first one:

"I appear to have left my Chelsea coffee mug somewhere in the department, whilst on my travels. If anyone can tell me where it is I would be very grateful!!

The next sessions for department photographs for use on the website and research photo noticeboard will be the afternoons of Wednesday 27 May and Wednesday 3 June 2009. All research students who haven't already had a department photograph taken should attend one of these sessions.

I would be grateful if you could let me know when you will be attending so that I can inform them of numbers.

Details of the location for the photographs are below. You can contact ... - Telephone No. 7578, before you go for your photograph to check that he is in the office.

Directions: Room T204 - Top floor ... School - You go through the cafe in the foyer, up the stairs to the top floor, turn left, go down the corridor and past the next set of stairs and immediately turn left down the corridor, his room is on the left.

Unfortunately the main boiler 'locked out' in the early hours of this morning, resulting in loss of heating to the Central site - both academic and residential buildings.

The boiler has been re-lit but will need to be brought back up to temperature slowly to avoid the possibility of pipes bursting upon expansion.

Facilities Management apologises for any inconvenience this may cause and thanks you for your kind cooperation during this period.

Dear all,

We have some electrical work that needs to be carried out in S274a, the comms room on the second floor. This will necessitate the disconnection of power from this room and will mean that computers that route through this room will lose network connectivity for the duration of the work. This will mostly affect users on the second floor of S building.

In addition, the Chem Eng print server and Chem Eng licence server will also be downed. This will mean that printing to Chem Eng network printers will be unavailable for the duration of the work.

Work is planned to be carried out at 10:30 Thursday and is hoped should take no longer than 1 hour and hopefully less. Apologies for the short notice but the work is a matter of urgency.

At present the Highways Agency has commandeered all road salt supplies for motorway and council usage due to the current bad weather across the UK.

As a consequence the University will not be able to obtain any further supplies until the early part of next month at the earliest. We have had a delivery this week and In order to conserve the remaining supplies whilst still maintaining access to as much of the university campus as possible, only main roads around the campus, steps, path inclines and car park entrances will be gritted.

During this severe weather please take extra care on roads and footpaths. Thank you for your cooperation.

Dear colleagues,

The final year undergraduates have challenged the staff to a cricket match this Thursday starting at 4pm. I am sure the students will appreciate seeing academics IN PARTICULAR turn out but all staff and researchers are welcome to join in.

Weather permitting, the match will take place at the Cotton Way sports fields near the driving range.

If you wish to participate please reply, preferably by the end of Tuesday, so that we know far enough in advance whether or not a team can be assembled.

No experience or skill is required, I have neither! It would be good if we can reach the required number (at least 11).

We managed to put a staff team of 12 players together (I don't think any of our students bothered to count past 10) and it included some academics and some clearly cricket capable researchers.

My only master stroke was delegating the captaincy to Rob. His strategy was to embarrass the academics and capitalise as much as possible on the batting talent we did have. It was sportingly agreed the staff would bat first so that the match would not drag on and a fairly respectable 113 off 20 was scored. Students started strongly but looked vulnerable, especially after a superb catch from Peter. They hit 114 with 5 overs to go to take the match. Paul saved some face by taking a wicket, stumps and all, with pretty much the next ball. His lap of the cricket pitch would have been the highlight had 20 odd students not invaded at that point to congratulate him by all-piling-on.

The students take all credit for organising the successful event and despite a few sore hands and knees everybody enjoyed it. A little more forewarning next year, hopefully a campus pitch, and I understand Richard will take the first Bat or Bowl

Dear Colleagues

This e-bulletin has been prompted by a recent dangerous incident involving the spillage of a hazardous substance in a department. DSO's are asked to remind those using and storing dangerous substances or substances that could cause pollution, that emergency procedures are required for spillages or accidental releases. This should include procedures for major spillages and minor spillages or leaks, and they should include; what to do if the material is spilt onto a person, how to contact the emergency services (in the case of a major release), how to neutralize hazardous substances, where to obtain safety data sheets, isolation and signage of affected areas etc.

Furthermore, in order to avoid a serious environmental incident, all possible efforts must be made to protect against spillages from reaching the surface water drains.

Good morning , in response to a question I was asked on Monday, any one intending to work over the Christmas break, is reminded that there will not be any heating in the building, as the boilers are turned off over Christmas by Facility Management, we do not have any portable heaters in the department.

Good Morning or Afternoon depending on when you read this!

We are trying to gather together the reading lists for each department. I understand that many of you are just coming away from holidays and perhaps won't get this straight away, but no matter. We are still here beavering away to get ready for the start of the term.

If there are some books you also want ordering then please pass on your lists to Pat and we'll get them to you ASAP. I know last year we had a good list of vehicle design and automotive handbooks. We have some new publishers this year and could maybe use them if there are some new books you are interested in, or if you'd like us to research some titles, then just let me know!! We are here to help you.

I shall not take up more time than necessary, you know what we can do and where we are. Please let me know if there is anything we can do to make your push to term time easier.

As many of you are aware we have Open Days next week.

There will be quite a lot of visitors in the department and around Campus. Please be alert, do not leave valuables lying around. Make sure you lock your drawers and offices.

There are likely to be quite a lot of people in or around the cafes and restaurants.
If you find any lost soles, please direct them to the Display Area.

Please be aware as from Monday 11th the reception is going to have some major alterations done, there will be workmen in the area, a bit of noise and a bit of mess, please be careful when you pass that way, sorry for any inconvenience this may cause, if you are having visitors can you please warn them of the disruption, finish date before 28th.

Hello,

Christmas is a very special period for many of us, however there will be considerable amount of students who will not be able to go home during this holiday period.

If you are staying here, and you don't really know what to do or what there is to do, fear not. We will be holding a session on the 11th of December on how to survive Christmas period in England!

A whole month without your friends or family can be very daunting. If you wish to find out more about what to do during this holiday, what will be going on in the area and what's the best strategy to have, attend this casual informational event and have a more enjoyable holiday.

Car sharing can be beneficial not just for the environment but for your pocket too! You don't have to do it everyday and you don't even need a car to sign up to the scheme.

We want any books, clothes, plates, food that you are planning to throw away. We want to give these to charities. There will be people coming along Thursday and Friday to collect any stuff you don't want.

Do any of you have willing and able research students who might be willing to fill gaps in my department exams invigilating slots. I've got almost 20 exams in the department over the exam period and have already come unstuck next Tuesday and Wednesday as I don't have enough researchers to cover. I'm also trying the Exams office pool, but if you have any who may be willing, could you ask them to contact me.

Anti Bacterial Gel Dispenser

A gel dispenser has been installed on the wall between reception and the photocopy room. Please use it to cut down on the spread of germs within the department. Germs survive on paper for quite some time !

To save everybody always being worried and asking the same question over and over again, I would like to re-iterate that which I have stated in previous emails.

No reputable organisations, be it banks, building societies, insurance companies or even university will ever ask for your username and password in an email. If you receive an email asking for these, or for any personal details (such as bank details), you can safely ignore the request and delete the email.
